Five signs your IT provider is letting you down

Not all managed IT is created equal. These are the warning signs that your current provider is costing you more than they're saving you.

You should see on your invoice

We meet a lot of businesses who are perfectly happy with their IT provider. We also meet a lot who have simply stopped expecting anything better. If you recognise any of these signs, you’re probably in the second group.

Sign one: you know the helpdesk by first name

If you can recite your support queue number, or you’ve memorised how long it takes to get a callback, that’s not a relationship — that’s a habit born of low expectations. A good provider answers quickly and resolves things the first time.

Sign two: you patch “when someone reminds you”

If software updates, security patches and firmware are your responsibility, you don’t have managed IT. You have someone renting you software. Patching is the foundation of everything else; it shouldn’t be optional.

Sign three: the invoice has a story to tell

Hourly rates, “project fees”, a bill that’s different every month. Managed services are predictable by definition — one price per user, per month, with no surprises. If your provider bills you like a plumber, you’re paying for hours, not outcomes.

Sign four: you’ve never seen a report

A managed provider should be showing you health checks, patching status and security posture on a regular basis. If the only contact you get is the renewal email, your provider isn’t managing anything.

Sign five: the password to your own systems is a mystery

This is the big one. If you can’t access your own admin accounts, your provider can hold you to ransom — whether they intend to or not. You should own your data, your licenses and your admin access, full stop.

What to do about it

If more than one of these feels familiar, it’s worth an hour of your time to find out what good looks like. A free IT audit gives you an independent view of your setup, your security and exactly what you’re paying for.

Then decide whether “the way it’s always been” is really good enough.

Ready to see the difference? Book a free IT audit. Worst case, you’ll know your current provider is doing a great job — best case, you’ll save your business a fortune.
